Set Up Your Face ID 5 Time Clock

This article will guide you through setting up your Face ID 5 time clock, and answer common time clock questions.

At Fingercheck, we provide a range of time clocks to suit your specific requirements. Our time clocks are designed for convenience, as they are ready to use as soon as you plug them in and connect them to your network.

To order time clocks from Fingercheck, simply visit our website and navigate to Setup > Company > Clock Management. Alternatively, you can place an order through our Service Desk under the "Order Modern Time Clocks" section.

Please note: We kindly request that you don't access the time clock's System Settings and reset it. Our time clocks are programmed to connect seamlessly with Fingercheck. Resetting the time clock through the System Settings may result in Fingercheck losing access to the clock, potentially limiting our ability to provide optimal service for your account.

This article will guide you through the steps to setting up, maintaining, and troubleshooting your Face ID 5 time clock.

Time clock specifications

The Face ID 5 time clock uses an Ethernet connection.

The Face ID 5 time clock has the following specs to meet your time clock needs.

  • Transactions: 200,000 punches saved

  • Face: 6,000 employee faces saved

  • Palm: 6,000 employee palm prints saved

  • Fingerprint: 6,000 employee fingerprints saved

  • Card: 10,000 cards can be assigned to employees. Time clocks come with five cards. Additional cards can be purchased separately.


Time clock connection

Time clocks ordered from Fingercheck are ready to use as soon as the unit is plugged in and connected to your network. If you experience trouble connecting the time clock to your network, you need to contact your IT support to resolve any firewall or security issues.

The Face ID 5 time clock will be ready to use as soon as the device is plugged in and the Ethernet cable is connected.

You will need to mount the device on the wall. Every brand new Face ID 5 time clock includes a Mounting Positioning Sticker that can be used to help you mount the device to the wall.

  1. Place the Mounting Positioning Sticker on the wall.

  2. Drill holes marked Fixing Hole and Wiring Hole.

    Wiring Hole will be used to connect electrical wires and ethernet cable

  3. Affix the mounting plate to the wall.

  4. Attach the Face ID 5 to the mounting plate.


Add employees to the time clock

Face

The steps for enrolling your employees on the Face ID 5 time clock are similar to the Face ID 5 clock, with a few minor updates.

  1. On the clock, go to Menu.

  2. Go to User Management.

  3. Select All users.

  4. Locate your user by going down the list or by using the search bar.

  5. Select your user, and select Edit > Face.

  6. When prompted, have the employee stand still while the camera records their face.

Please note the items below when scanning an employee's face:

  • The face must not be covered with a face mask.

  • There must be adequate lighting for the device to properly enroll the employee.

  • The device will be able to read your face with a mask on after the face has been enrolled with a mask.

Palm

  1. On the clock, go to Menu.

  2. Go to User Management.

  3. Select All users.

  4. Locate your user by going down the list or by using the search bar.

  5. Select your user, and select Edit > Palm.

  6. When prompted, have the employee place their palm on the clock.

Fingerprint

Check out Tips for a Better Fingerprint Recognition to get the highest quality fingerprints so that your employees can clock in and out seamlessly.

  1. A Fingerprint Enroller will need to go into Menu > Manage User.

  2. Select your employee.

  3. Select Edit.

  4. Select Enroll FP.

  5. Place the employee’s finger on the sensor

  6. Press it and then remove it.

  7. You will have to repeat steps 5 and 6 three times in order to register a successful fingerprint.

  8. Press ESC twice.

  9. Press OK when you are prompted to save the fingerprint.

Card

We recommend you add the card number under the employee’s profile in Fingercheck before having the employee register on the time clock. Cards assigned via the time clock will not sync to the employee’s profile in Fingercheck.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Clock Info.

  4. Click the Edit icon (pencil) in the Details section.

  5. Enter the employee’s assigned Card Number to be used when clocking in.

  6. Click Save.

  7. An Admin will need to be with the employee at the clock to register the employee’s assigned card number.

  8. Admin will need to go to Menu > Manage User.

  9. Select your employee.

  10. Select Edit.

  11. Select Enroll card.

  12. Place the employee’s finger on the sensor

  13. Press it and then remove it.

  14. You will have to repeat steps 5 and 6 three times in order to register a successful fingerprint.

  15. Press ESC twice.

  16. Press OK when you are prompted to save the fingerprint.

Passcode

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Clock Info.

  4. Click the Edit icon (pencil) in the Details section.

  5. Enter the employee’s Clock Password (8-Digits) to be used when clocking in.

  6. Click Save.

Provide the employee with their Clock Number found on the Personal page of their employee profile, and the Clock Password so they can clock in at the time clock terminal.


Tips to try if employees aren't showing up on a time clock

If you see that employees are not showing up on the time clock, even though you added them to Fingercheck, check the items below. If you can't resolve the issue, contact Fingercheck Support, and they can help you immediately.

Tip 1: Verify that your employees have their own employee clock number

  1. Log in to Fingercheck as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.
    The Personal section appears.

  3. If the Clock Number field is empty, enter a number of your choosing, or enter a question mark to auto-generate a number.

  4. Click Save.

Tip 2: Resend your employees to the clock

  1. On the EMPLOYEES tab, select the employees you want to send to the clock.

  2. Click the Quick Actions menu (hamburger icon), and select Send Employees To Clock.

  3. Select the clock, and click Send.

Time clock map

Map a clock to a job

If you have employees working different jobs, it can be helpful to set up designated time clocks that are each mapped to a specific job. Then, employees can easily get into the routine of automatically going to a particular clock to punch in and out.

  1. Log in to Fingercheck as an Administrator.

  2. Go to the SETUP tab > Clock Management (under the Company heading).

  3. Select the clock terminal you want to map to the job.

    The Terminal Information section appears.

  4. From the Clock Mapped To drop-down, select Job Code.

  5. From the Clock Mapped to Code drop-down list, select the job code you want the clock mapped to.

    All the job codes you have created are listed.

  6. Click Save.

Send jobs to a clock

  1. Log in to Fingercheck as an Administrator.

  2. Select SETUP > Company > Clock Management.

  3. Click the Pencil icon to access the clock.

  4. From the dropdown menu Workcode Option select JobCode.

  5. Click Save.

  6. Click the Quick Actions button (hamburger icon) in the top right > Sync Work Codes

  7. Select Sync Work Codes.

    Jobs must have numeric values as the code in order to be synced to the clock.


Time clock sync

Sync this clock with another clock

  1. Log in to Fingercheck as an Administrator.

  2. Select SETUP > Company > Clock Management.

  3. Click the Pencil icon to access the clock.

  4. In the Terminal Information section, click the Quick Actions button (hamburger icon), and select Sync Clock.

  5. Select all the clocks you would like to sync, and click Sync Clocks.

  6. In the confirmation pop-up message, click OK.

    The page will reload, and your clocks should all be synced. The data and fingerprints will be shared between all your clock terminals.

Auto sync fingerprints to the clock

  1. Log in to Fingercheck as an Administrator.

  2. Select the SETUP > System > Scheduled Tasks.

  3. Click Add.

  4. Complete the following fields:

    1. Code: An abbreviated name for the task.

    2. Description: A short descriptive name. Together, the Code and Description fields make up the full name as displayed in other areas of Fingercheck.

    3. Job Status: Leave as Scheduled.

  5. In the Task Actions section, click Add.

    1. From the Job Action drop-down list, select SYCL – Sync Clock Fingerprints.

    2. Leave the Sequence field empty.

    3. In the DaysFromHireDate field, enter the number of days to include in the clock sync.
      By entering a negative number, you can tell the system to include all employees added to the system over the last selected number of days. For example, if you enter -7, the system syncs all employees that have been added within the past 7 days next.

    4. Click Apply.

  6. In the Task Triggers section, click Add.

    1. In the Start Date field, enter the date you want to start the task.

    2. In the End Date field, enter a date far into the future (such as 1/1/2099) so that the trigger continues to run.

    3. From the Trigger Type drop-down list, select Weekly, and select the day of the week for the job to run.

    4. Click Apply.

  7. Click Save.

    Note: Fingerprints are synced only with the time clocks that an employee has been “sent” to during the employee set up process. This ensures that only the time clocks that you want an employee to access are synced with the fingerprint data

Sync employees and fingerprints to the clock

Syncing existing employees and fingerprints with a new clock is a simple process within Fingercheck. This allows you to download employees and fingerprints from one time clock to upload to another clock.

  1. Log in to Fingercheck as an Administrator.

  2. Select the EMPLOYEES tab.

  3. Select the checkboxes for each employee who you want to sync with the clock.

  4. Click the Quick Actions button (hamburger icon), and select Download Biometrics.

  5. In the pop-up window that appears, select the clocks you want to download the fingerprints from, and click Download.

  6. Send the employees to the clocks:

    • Make sure the same employees are selected.

    • Click the Quick Actions button (hamburger icon), and select Send Employees to Clock.

    • In the pop-up window that appears, select the clocks you want to send the information to, and click Send.

  7. In the confirmation pop-up window, click OK.

  8. Send the fingerprints to the clock:

    • Click the Quick Actions button (hamburger icon), and select Send Biometrics to Clock.

    • In the pop-up window that appears, select the clocks you want to send the information to, and click Send.

    • In the confirmation pop-up window, click OK.


Set up notification if the time clock goes offline

  1. Log in to Fingercheck as an Administrator.

  2. Go to the SETUP tab > System > Scheduled Tasks.

  3. Click Add.

  4. In the Scheduled Task Information section:

    1. In the Code field, enter an abbreviated name for the task.

    2. In the Description field, enter a short, descriptive name.

      Together, the Code and Description fields make up the full name as displayed in other areas of Fingercheck.

    3. Leave the Job Status field set to Scheduled.

  5. In the Task Actions section, define the task:

    1. Click Add.

    2. From the Job Action drop-down list, select CLNO - Clock Notification Offline.

    3. Leave the Sequence field at 0.

    4. In the MailTo field, enter the email address of the person who should receive the notification.

    5. Leave the Days field at 0.

    6. Click Apply.

  6. In the Task Triggers section, define how often the task is executed.

    1. Click Add.

    2. In the Start Date field, enter the date you want to start the task.

    3. In the End Date field, enter a date far into the future (such as 1/1/2099) so that the trigger continues to run.

    4. In the Time field, enter the time of day when you want the notification sent.

    5. From the Trigger Type drop-down list, select Daily, and select the day of the week for the job to run.
      If you want to be notified more frequently, you can create multiple triggers to execute the notification in the morning, afternoon, and evening (changing the Time field for each trigger).

    6. In the Days field, enter 1 so that the task is triggered every day.

    7. Click Apply.

  7. Click Save to save the scheduled task.


User management

User roles

It is important to designate users because employees can make changes to the time clock until a user is assigned with a role of Supervisor or Fingerprint Enroller.

Employee

Employees can use the time clock to punch in and out. They will not have access to the clock’s settings to make changes once an individual has been assigned with a role as a Supervisor or Fingerprint Enroller.

Fingerprint Enroller

Employees can use the time clock to punch in and out. They will not have access to the clock’s settings to make changes once an individual has been assigned with a role as a Supervisor or Fingerprint Enroller.

Administrators can classify specific employees as fingerprint "enrollers" within a designated time clock. This user can lock and unlock designated time clocks, and enroll employee fingerprints to the designated time clock.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Clock Info.

  4. Click the Edit icon (pencil) for the Details section.

  5. Click the Is Enroller checkbox.

  6. Click Save.

  7. Click the Quick Actions button (hamburger icon), and select Send Employee to Clock.

In the pop-up window that appears, select the clocks, and click Send.

Supervisor

An individual with a role of Supervisor will be able to enroll employee fingerprints, and access settings and all menu options. They can make changes to menu selections and clock operations.

Remove terminated employees from the time clock

We recommend in most situations to not delete employee information, as those records could be relevant in case of an audit, or if you just need to go figuring out what the employee did in the past.

However, you can safely delete the employee's name within your time clock's roster. This record isn't tied directly to any data, so nothing important is lost. Until you delete the employee's name, they can still punch in and out.

How to remove terminated employees from the time clock

  1. Log in to Fingercheck as Administrator.

  2. Click to the SETUP tab > Company > Clock Management.

  3. Click the edit icon (pencil) for the clock you would like to make changes to.

    If you're unsure which clock to select, you can check by comparing the serial number (located on the back of the clock) with the number in the Code column.

  4. On the Terminal Information page, click on the Actions icon (hamburger icon) in the upper-right corner, and select Delete Terminated Employees.


Replace and deactivate time clocks

If you have to replace the Face ID 5 time clock, you will need to purchase the replacement from Fingercheck. Our software is seamlessly compatible with the time clocks that Fingercheck sells.

If you need to make the Face ID 5 time clock inactive, please contact Fingercheck Support to deactivate your time clock.

Once Fingercheck marks a time clock inactive under your account, the employee's punches will no longer be recorded.
