How to Send Reminders About HR-Related Tasks

You can send push notifications or email reminders to administrators, supervisors, or employees.

To keep track of tasks and events, you can have push notifications sent to the Fingercheck app for administrators, supervisors, or employees. Or you can have email reminders sent automatically. For example, you might want a notification sent to the employee culture committee when an employee’s work anniversary is coming up. Or a trucking company might want reminders sent to drivers about renewing their license.


Send a reminder notification

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the SETUP tab > HR > Notification Rules.

  3. Click Add.

  4. In the Details section that appears, complete the fields, which are described in the About the Notification Rules fields section below.

  5. Scroll down to the Notification Details section, and enter a Title.

  6. In the large field, enter the text for the notification.
    You can use the formatting options to make the text more readable and scannable. When you click in the field, a list of variables appears. Use these variables in the message to personalize it. In the example below, {0} is replaced by the employee’s first name in the message.

  7. Click Save.
    The reminder is sent at the time and day you selected.

  8. When adding the related option in the employee's profile, select the Include in Notification checkbox to make sure that the notification is sent to the employee.

About the notification rules fields

Field

Description

Code

An abbreviated name for the notification. In combination with the Description field, this makes up the full name of the notification as displayed in other areas of Fingercheck.

Description

A short descriptive name for the notification.

Notification Type

Select a notification type. Many options are available, including:

  • BOECD - Benefits Open Enrollment Close Date

  • EA - Employee Anniversary

  • LED - License Expire Date

The due dates for the notifications depend on the type of notification. For example, if you select LED - License Expire Date, the date is found in the employee’s profile under HR > Licenses.

Employee Filter

Select the set of employees who would trigger the notification in Fingercheck.

The drop-down list is fed from SETUP > Security > User Filters.

Notify

Select the checkboxes for the users who should receive the notification in Fingercheck.

The options are:

  • Admin: The administrator with the email address that is shown in the Notifications Email field in the SETUP > Company > Default Settings

  • Supervisor: The supervisor of the affected employees

  • Employee: The employees who should receive the reminder

Remind

Select the checkboxes for the users who should receive an email reminder. The options are:

  • Admin: The administrator with the email address that is shown in the Notifications Email field in the SETUP > Company > Default Settings

  • Supervisor: The supervisor of the affected employees

  • Employee: The employees who should receive the reminder

Remind Days

Enter the number of days before or after the deadline for the task or event that you want to send the reminder.

From the drop-down list, select Before or After.

Remind Others

Enter the email addresses of others who are not listed above but whom you want to send the reminder.

Disabled

Select this checkbox when you want to disable (but not delete) the reminder.
