There may be occasions when you need to void a check.

Small business owners might need to void a check for many reasons. Perhaps a direct deposit was returned and you need to issue a new payment. Or maybe you need to issue a new check to include an electronic child support payment. And sometimes the original check was missing a bonus or overtime earnings. Additional reasons could include:

  • Errors were on the check, or the employee never received the original check.

  • A payroll or individual check was canceled (perhaps an employee left the company and should not have been paid).

  • A check amount was edited, and the employer needs to void the original and create a new check to match the corrected amount.

When voiding a check, remember these important tips:

  • Voiding the checks will also void the taxes associated with each check. However, the gross tax amount originally drafted will be applied to your tax services account as a credit, and be used towards future payroll runs.

  • If you are voiding a check that includes electronic deductions for pay on-demand, 401k contributions, or child support payments, these deductions are voided with the checks. However, the drafts for these deductions are not voided and will not be credited back to your bank account. They will continue to be sent to the appropriate institution.

For amounts that have already been drafted, you should manually adjust future payrolls to deduct the amounts again (for accurate record keeping) without triggering another draft.

  • If you need to issue a new check with direct deposit disabled, see How to Process a Manual Check.

  • For amounts that have already been drafted, you should manually adjust future payrolls to deduct the amounts again (for accurate record keeping) without triggering another draft.
