How to Use Shift Templates

Learn how to use the Shift Templates Dashboard to make quick and efficient schedules with this guide.

Scheduling can take a long time. Shift Templates can help you save time and speed up the process by making shift templates that you can use again and again.


Accessing the Shift Templates Dashboard

To access your Shift Templates Dashboard, follow these steps:

  1. Visit your Schedule page.

  2. Click on the hamburger menu on the left.

  3. Select 'Manage shift templates'.


Creating Your First Shift Template

The Shift Templates Dashboard will not have any templates when you first open it. To make your first shift template, follow these steps:

  1. Click on 'Create shift template'.

2. Fill in the shift details: *Day, Start Time, and End Time are required.

  • The shift template can be customized with jobs, departments, tasks, cost centers, schedule policies, schedule profiles, colors, and rules.

3. Save your template.

You can now use your newly made template to make your schedule and assign shifts. Shift templates are customizable. You can use the shift templates to make templates for specific jobs, cost centers, departments, and more.


Managing Templates on the Dashboard

You can manage your shift templates directly from the dashboard.

  1. Click on the hamburger icon (quick actions menu)

  2. Scroll down to 'Manage shift templates'

Manage shift templates allows you to view, filter, and sort shift templates, as well as edit, clone, and delete templates.

Shift Templates Dashboard direct actions include:

  • Edit a Template: Click on the 3 dots next to a template, select Edit, make your changes, and save.

  • Clone a Template: Duplicate a template by selecting Clone. Remember to change at least one detail to save the clone.

  • Delete a Template: Remove a template by selecting Delete. Confirm the deletion when prompted.


Using Shift Templates for Scheduling

For open shifts

  1. Start on the Schedule page, and click on any open shift block.

  2. Available Shift Templates will appear.

  3. Choose your desired template.

  4. The shift pop-up will open with template details filled in.

  5. If no changes are needed, click 'Save & Close' or 'Save & Publish'.

For specific employees

  1. On the Schedule page, click on an empty employee block.

  2. Shift Templates for the selected day and employee's department will be suggested.

  3. Choose your desired template.

  4. The shift pop-up will open with template details filled in and the selected employee.

  5. If no changes are needed, click 'Save & Close' or 'Save & Publish'.

Shift Templates can help you speed up the scheduling process and make sure that everything is consistent. These steps should help you efficiently manage shifts, saving time for more critical tasks.
