How to Set up Automatic Email Reports

You can set up automatic reports to be emailed to you and others on a regular basis.

You can have reports automatically emailed to you on a minute, hourly, daily, weekly, and monthly basis.

How to set up automatic email reports

  1. Log in to Fingercheck as an Administrator.

  2. Go to the SETUP tab > System > Scheduled Tasks.

  3. Click Add.

  4. In the Schedule Task information section, enter a Code and Description for the task.
    The Code is an abbreviated name for the task. The Description is a short descriptive name. Together, these fields make up the full name as displayed in other areas of Fingercheck.

  5. Leave the Last Execution Time and Next Execution Time empty.

    The system automatically fills these fields every time the task runs, so manually changing these fields is not recommended.
    The system automatically runs immediately after you create the scheduled task, regardless of what triggers you set. If you do not want this to happen, you can manually set a Next Execution Time.

  6. Leave Job Status as Scheduled.

  7. From the Run Task as User drop-down list, select the user who the report will be ran as (for example, a user with a filter on their account, who can only see certain employees, or your own admin user). This user will receive reports on all the employees they supervise. By default, the user is the system administrator, who will receive a report on all employees.

    You can leave the other fields as is.

  8. Add a task action:

    1. In the Task Actions section, click Add.

    2. In the pop-up window that appears, select one of the automatic report options from the Job Action drop-down list. Options include:

      • AUREP - Automatic Email Reports

      • AUSREP - Automatic Supervisor Email Report (If you select this option, you do not need to enter any email addresses in the MailTo field below. The system will determine the supervisors to send to, based on whether their employee profiles are marked as Supervisor.)

      • AUEREP - Automatic Employee Email Report

    3. If you are creating more than one task action, enter a number in the Sequence field to set the order in which you want the tasks to be executed.

    4. In the MailTo field, enter the email address that should receive the report.
      To add more than one address, separate the addresses by commas.

    5. In the Subject field, enter a subject line for the email.

    6. In the Message field, enter a short message for the email.

    7. From the ReportCode drop-down list, select the report you want to run.

      For example, if you want to review employee exceptions each day, select Exception - Exception Report. The report options are fed from the reports on the REPORTS tab.

    8. Click Apply.

  9. Add a task trigger so that the task is sent at a regular interval:

    1. In the Task Triggers section, click Add.

    2. Enter a Start Date and End Date.

      If you want the task to be "permanent," select an end date far into the future.

    3. Select the Time of day when you want the email to be sent.

    4. Select a Trigger Type: Daily, Weekly, or Monthly.

      The Days field changes depending on the option you select.

    5. Select the Days you want the task triggered.

      If you selected Daily as the Trigger Type, enter 1 to have the task triggered every day.

    6. Click Apply.

  10. Click Save.
