Schedule: How to Use Shift Templates

Learn how to streamline your scheduling process using the Shift Templates Dashboard with this comprehensive guide

Scheduling can be time-consuming. Shift Templates can help you save time by creating reusable shift templates. Follow this guide to efficiently manage your schedules.


Accessing the shift templates dashboard

To access your Shift Templates Dashboard, follow these steps:

  1. Visit your Schedule page.

  2. Click on the quick actions menu, or hamburger menu on the left.

  3. Select Manage shift templates.


Creating your first shift template

When you first open the Shift Templates Dashboard, it will be empty. To create your first shift template, follow these steps:

  1. Click on Create shift template.

2. Fill in the required shift details:

  • Select the number of shifts

  • Choose the day

  • Start and end times

3. More Options:

  • Customize the template with jobs, departments, tasks, cost centers, schedule policies, schedule profiles, colors, and rules.

4. Click Save shift template.

Now you can use your newly created template to build your schedule and assign shifts. These templates are highly customizable, allowing you to create templates for specific jobs, cost centers, departments, and more.


Adding Shift Tasks to templates

Admins can create predefined task lists on the web platform. When creating, editing, or generating task lists, you can assign predefined tasks to shifts or add tasks on the fly. Task lists can also be added to shift templates, allowing for easier management of recurring tasks.

Shift Tasks can be added to a shift from the Shift Template pop-up.

You can choose a pre-existing created list or choose to add new or additional tasks to the shift.


Managing templates on the dashboard

You can manage your shift templates directly from the dashboard:

  1. Click on the hamburger icon (quick actions menu).

  2. Scroll down to Manage shift templates.

    1. The Manage Shift Templates section allows you to view, filter, and sort shift templates, as well as edit, clone, and delete templates.

The Shift Templates Dashboard offers several direct actions:

  • Edit a Template: Click on the three dots next to a template, select 'Edit', make your changes, and save.

  • Clone a Template: Duplicate a template by selecting 'Clone'. Make sure to change at least one detail to save the clone.

  • Delete a Template: Remove a template by selecting 'Delete'. Confirm the deletion when prompted.


Using shift templates for scheduling

For open shifts

  1. Go to the Schedule page

  2. Select a View by

    1. E.g. select View by Job and then further refine by selecting the job tab.

  3. Click on the day to schedule.

  4. Click Add Shift, or hover over the shift date and click the plus sign.

  5. Choose your desired template.

  6. The shift pop-up will open with the template details filled in.

  7. If no changes are needed, click 'Save & Close' or 'Save & Publish' to make it available for employees.

For specific wmployees

  1. On the Schedule page, select View by Employee

  2. Click on the day to schedule for the employee

  3. Shift templates for the selected day and the employee's department will be suggested.

  4. Choose your desired template.

  5. The shift pop-up will open with the template details filled in and the selected employee.

  6. If no changes are needed, click 'Save & Close' or 'Save & Publish'.

Shift Templates can significantly speed up the scheduling process and ensure consistency. By following these steps, you can efficiently manage shifts and save time for more critical tasks.
