The scheduler allows you to add shift task lists and employees the ability to leave notes for admins and upload attachments.

Fingercheck's Shift Task Lists allows admins to create, assign, and track shift and employee shift task lists, simplifying task management for various industries. People who work in service industries like plumbing and HVAC are scheduled by job site and may have different tasks depending on the nature of the job. This is particularly beneficial for industries such as the service industry, where workers receive advance scheduling.

Shift tasks enable administrators to create predefined task lists linked to shifts. It lets you quickly choose the tasks you want to add when you add shifts or save them to shift templates (360 Plus) to make things even easier. Additionally, administrators can quickly add specific tasks to shifts and allow employees to leave notes in their shift. People can view, complete, and note tasks online or on their phones.


What are shift task lists and notes?

  1. Create and manage task lists:

    • Admins can create predefined task lists on the web platform.

    • When creating, editing, or generating task lists, you can assign predefined tasks to shifts.

    • Task lists can also be associated with shift templates, allowing for easier management of recurring tasks.

  2. Flexibility in task management:

    • When creating or editing shifts, admins have the ability to add task list items on the fly.

    • When adding, editing, or generating shifts, you can delete or modify task list items.

    • For specific task items, administrators can require a photo or file upload, ensuring proper documentation and proof of task completion.

      1. Check the box next to “Attachment required.”

  3. Employee notes:

    • Admins can enable a setting that allows employees to add notes to their shifts.

      1. This is useful for providing additional details about the work completed, suggestions, or any issues encountered during the shift.

  4. Keep track of task status and completion:

    • Admins can view the status of task list items, files/photos, and employee notes directly from the shift details on the web platform.

    • It records the time and date of task completion, and for better tracking, it includes the name if an admin or supervisor user completed the task.


How to create a task list

  1. Visit your Schedule page.

  2. Click on the hamburger or quick actions menu on the left.

  3. Select Manage Shift Tasks.

  4. In the pop-up, select Add List to create a new one.

    1. Give the new list a name

    2. Click Save

5. Start adding tasks by clicking Add Task.

6. Write the task and check if it requires an attachment or upload.

7. Hit Save & Close when you have added all the tasks to the list.


How to edit a task list

  1. Visit your Schedule page.

  2. Click on the hamburger or quick actions menu on the left.

  3. Select Manage Shift Tasks.

  4. In the pop-up, select the list to edit or delete and click on the pencil or edit icon to change the list’s title

  5. To change the tasks on the list, select the list and change the task in the text field, or hover over the right side and click the trash icon to delete.

6. Click Save & Close when you have added all the tasks to the list.


How to set up employee shift notes

  1. Click on the Settings icon (gear icon) near the top right of the schedule.

  2. Navigate to the Styles tab

  3. Check the box if you want to allow employees to enter shift notes.

  4. Click Save to apply the settings.

When should you use task lists and notes?

  1. Predefined task lists for consistent shifts:

    • To ensure consistency and clarity in the tasks required, an admin can create a predefined task list for all night shifts in a restaurant.

  2. Assign specific tasks:

    • For a supermarket, an admin needs a simple way to assign specific tasks, such as stock replenishment or cleaning duties, without manually inputting them every time.

  3. Create Tasks on the Fly:

    • In the HVAC industry, an admin might need to quickly create a task list for a shift, determining tasks only after evaluating the job site or a specific job.

  4. Monitor task completion and verify the quality of work:

    • An admin wants a method to ensure employees complete the required tasks for a shift.

    • You can easily track proof of completion by enabling photo/file upload requirements for certain tasks.

  5. Employee task clarity and interaction:

    • For example, plumbing company employees want a clear list of tasks to complete during their shift, as well as the ability to report to the admin what they've completed and any additional work they've suggested to the customer.

Once you create a task or predefined how to view and track the status. The shift indicator shows tasks (settings), and hover will show shift tasks in a pop-up. (color-coded) black shift hasn't ended, red if uncompleted after shift ends, and green is done.
