How to Set and Assign Schedule Availability

Schedule availability lets administrators manage staff work hours. You and your employee can now set their availabilities and schedules.

The premium scheduling feature allows you to set, change, and assign availability to employees, as well as create open shifts and manage shift requests, covers, and trades.

Schedule availability allows you, the administrator, to manage when your staff can work. You and your employee can now both decide when they are available; add or change your employees' schedules for now or later. You can also give employees different jobs, cost centers, or tasks (positions and allocations) based on their available hours. This means employees will show up as available when you are scheduling shifts for specific jobs, cost centers, or tasks that aren't selected in their employee profile but are selected in their availability.

Administrators can also choose whether the employees can pick their supplementary positions and allocations (aka jobs, cost centers, and tasks) when setting their availability, or restricted to that only admins can do this.


Manage availability settings

  1. Navigate to the SCHEDULE tab.

  2. Click the gear icon, also known as the settings menu, in the top-right corner, and select Availability.

3. Scroll down to the Manage Employee Availabilities section

  • Options are:

    • Allow employees to select additional positions and allocations when setting their availability

    • Allow employees without a cost center, job, or task to be shown as available

      • This setting will allow employees with NO assigned cost center, job, or task to be shown as available when scheduling a shift with a cost center, job, or task selected.

4. Then you can customize the View Availability function on the schedule.

5. Choose the employees' availability schedule view

  • These settings will allow employees with an assigned cost center, job, or task to be shown as available when scheduling a shift with a different cost center, job, or task selected. Employees with no assignment will also be shown as available.


Assign availability

  1. Navigate to the SCHEDULE tab.

  2. Click Availabilities

  3. Select the employee

4. Click on the edit icon (pencil) to add new or edit current availability to the employee

5. To add only a new schedule availability, click the Add Availability button

6. In the Edit Availability window, either edit what is already available by clicking the edit icon to change the shift availability by day or click Add to add a new shift availability

7. Once you set up a day, you can copy the same shift details to the other days.

8. At the top of the pop-up, you will see a “Set Additional Positions and Allocations” button, click it to select the positions and allocations (one or more) for the employee’s availability. Hit Save when you’re done.

9. Back in the Edit Availability window, hit Save when you have set the availability for the employee.
