How to Rehire an Employee

Rehiring employees doesn’t require reentering all the employee details.

It’s always great to hire employees who already know internal processes and systems. What better way to hire a candidate matching that experience than to rehire a terminated employee. While most of the employee’s information is already in Fingercheck, you may still need to update specific employment information such as supervisor, pay rates, and location to name a few.

This article will guide you through each section when rehiring an employee in Fingercheck:

  • Position and Rates

  • Personal section

  • HR section

  • Payroll section

  • Employee Self Service

  • Employee responsibility

  • Onboarding status


Position and Rates

The first step when rehiring an employee will be to update their employment status, enter their rehire date, and new pay rate.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Position and Rates.

  4. Click the Edit icon (pencil) for the Status & History section.

  5. From the Employee Status drop-down list, select A-Active.

  1. Enter a Rehire Date.

  2. Click Save.

  3. Click OK to Activate Employee question Do you want to send the employee to all time clocks?

Pay Rate Update

If the employee will have a different pay rate, you will need to update this under the Details section in the EMPLOYEES tab > Positions and Rates:

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Position and Rates.

  4. Scroll down to the Rates section and click Add.

  5. Complete the fields

    1. Select the Effective Date which most likely will be the rehire date.

    2. Select the Rate Code, if paid differently from Base. Enter the new Hourly Rate.

    3. Enter the Hourly Rate.

  6. Click Save.

Please note: If the employee will be paid a new rate, we recommend you add the new rate instead of editing the pay rate upon their rehire. This allows you to see the pay rate history without viewing the Audit.

Supervisor Update

If the employee will have a different supervisor, or was rehired as a Supervisor, you will need to update this under the Details section in the EMPLOYEES tab > Positions and Rates. This section also allows you to update the employee’s Location, Job, Position, and Job Title.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Position and Rates.

  4. Click the Edit icon (pencil) for the Details section.

  5. From the Supervisor dropdown menu, select the new Supervisor.

  6. Click Save.


Personal section

The Personal section of the Employee profile shows more than the employee’s Position and Rates. This section also shows the employee’s supervisor, Schedule rules, Accruals, Clock details, and Employee Self-Service.

Accruals

You will need to review the employee’s accruals. The employee’s PTO accrual stopped when they were terminated, per the company policy. However, if you rehire the employee, their PTO policies will begin to accrue again based on the company's accrual policy.

If you want the rehire date to be considered as the employee's start date for PTO accrual, it's essential to ensure that the PTO policies' "use rehire date" option is selected. You can review your Accrual Policies under the SETUP tab > Policies > Accrual Policies.

HR section

The HR section updates would include any equipment that was provided for the employee under the EMPLOYEES tab > HR > Assets.

Similar updates can be made for licenses held by the employee, industry memberships, skills, tasks, and training.

Handbooks and HR documents

You will want to send the rehired employee new employment forms and the HR handbook to review and sign.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the SETUP tab > HR > Documents.

  3. Click the Quick Actions (Hamburger menu) icon.

  4. Select Queue.

  5. Click Send to Employees.

  6. Enter a message to include in the body of the email when sending the HR document.

  7. Click Select Employees.

  8. Select the employee and click Send.

  9. Click OK to confirm.

    You will see the document listed as Pending for the employee to sign.


Payroll section

The Payroll section allows you to update Deductions and enter any Labor Allocation that needs to be assigned to the employee.

Deductions

You should update voluntary deductions based on company policy for the rehired employee’s eligibility for benefits.

For involuntary deductions it is likely you would want to stop those deductions, and wait for you to receive a new court order wage garnishment. We recommend that you review all court orders previously received to determine the best process for involuntary deductions.

Earnings

You should review the rehired employee’s earnings that are set up under their profile. Make sure to delete previous earnings that are no longer valid to pay the rehired employee.


Employee Self Service

The final step in rehiring an employee is giving them access to their employee portal in Fingercheck.

Update password

As soon as the employee status is updated to Active, they will have access to their Fingercheck account. You can provide them with their username–which is the first name listed under the Username field.

Employees can reset their own password by clicking the Forgot Password link from the Fingercheck sign-in page.

You can also update the employee’s password if the employee never logged into their Fingercheck account, or they did not provide their email address when they were initially hired.

  1. Log in to your Fingercheck account as an Administrator.

  2. Click the EMPLOYEES tab, and click the employee's number to open their profile.

  3. Under Personal, click Self Service.

  4. Click the Edit icon (pencil) for the Details section.

  5. Select the link Click to edit user.

  6. Update necessary fields for Username, Role and Password.

  7. Click Save.

  8. Click Save.

Clock In Options

If the employee is required to clock-in via the web or mobile app, make sure to update their clock-in access.

Employee responsibility

Rehired employees need to review and update their personal information after they login to their Fingercheck account. If they should have any questions on how to update their personal information, let them know they can check out these articles:

When the employee updates their tax withholdings a new W-4 will be generated, and you will receive an email when they update their direct deposit information.


Onboarding Status

When rehiring an employee in Fingercheck, you may decide to update the employee status from Terminated to Onboarding.

Updating the employee status to Onboarding during the rehire process will only put them back to the last step of the onboarding process. Doing this will not require the employee to update their personal information, and sign new employment forms.
