How to Prepare for a Workers’ Comp Audit

Generate payroll reports for the workers comp audit.

A workers' comp audit is a necessary step to verify that your business is paying the correct premiums for your workers' compensation policy. During this audit, you may be required to provide detailed payroll information. Fingercheck can assist you in completing your part of the workers' comp audit by generating comprehensive payroll reports.


Payroll Totals by Employee

The PayReg5 report lists payroll totals by employee. This report is great to show your company’s payroll totals processed for the policy period.

  1. Login to Fingercheck as an Admin.

  2. Select Reports tab > Payroll.

  3. Scroll down to the PayReg5 report and click Run Report.

  4. For the From To periods, enter your workers comp policy dates the audit is requesting.

  5. Click Download to download the report as a .pdf, or Preview to preview the report first.


Payroll Count Stats

If your workers’ comp audit needs to include the gender count, then the PaySta1 report will provide this information.

  1. Login to Fingercheck as an Admin.

  2. Select Reports tab > Payroll.

  3. Scroll down to the PaySta1 report and click Run Report.

  4. For the From To periods, enter your workers comp policy dates the audit is requesting.

  5. Click Download to download the report as a .pdf, or Preview to preview the report first.


Tax forms

Auditors will want to compare the payroll reports to the federal and state tax forms.

  1. Login to Fingercheck as an Admin.

  2. Select the PAYROLL tab.

  3. Select Forms & Notices.

  4. Select the Quarterly tab to view and print quarterly (941) reports, and the Annual tab to view and print annual (940) reports.


Workers’ comp audit examples

Payroll records reporting 1/1/2022 - 12/31/2022

Reports needed to complete the audit:

  • PayReg5: Period - From: 1/1/2022 - To: 12/31/2022

  • PaySta1: Period - From: 1/1/2022 - To: 12/31/2022

  • Quarterly reports (PAYROLL tab > Forms & Notices):

    • 1Q22, 2Q22, 3Q22, and 4Q22

    • 1Q22, 2Q22, 3Q22, and 4Q22

      • 941 for each quarter can be found towards the end of the Quarter-End Report.

      • CA DE9 and NYS-45 forms are included towards the end of each Quarter-End Report.

      • For the other states you can provide the Employee Wage Listing.

Reports needed to complete the audit:

    • Period - From: 2/1/2022 - To: 1/31/2023

    • Period - From: 2/1/2022 - To: 3/31/2022

    • Period - From: 1/1/2023 - To: 1/31/2023

  • PaySta1:

    • Period - From: 2/1/2022 - To: 1/31/2023

    • Period - From: 2/1/2022 - To: 3/31/2022

    • Period - From: 1/1/2023 - To: 1/31/2023

  • Quarterly reports (PAYROLL tab > Forms & Notices):

    • 1Q22, 2Q22, 3Q22, 4Q22, and 1Q23

    • 1Q22, 2Q22, 3Q22, 4Q22, and 1Q23

      • 941 for each quarter can be found towards the end of the Quarter-End Report.

Prior payroll reports

There may be times when your payroll reports will not be available in Fingercheck. A good example of this would be if you started processing payroll with Fingercheck January 1, and your workers’ comp audit is asking for check dates processed the prior year.

We suggest you review all your quarterly reports as they may include a payroll report that shows QTD amounts that the auditor can use, or some providers report QTD amounts on the check registers with each payroll process.
