Employees: Add Availability, View, Request, and Swap Shifts

Try the scheduling features to view availability, take open shifts, make shift requests, request covers, and trade shifts.

The Scheduling feature saves you time by giving you the flexibility to take open shifts, request covers, or ask team members to trade shifts.


Employee schedule calendar

This calendar view allows you to:

  1. Add your Availability for employers to see

  2. See any Open Shifts that have been published and are available to take

  3. See any Trade or Cover requests that have been sent or received

  4. See any Assigned Shifts that have been assigned to you

  5. Choose to Confirm or Decline a shift

  6. Write Employee Notes (if applicable)

  1. Review and complete Shift Task Lists

  2. View Punch status and times

  3. Punch in or out

  4. Switch to Team Schedule view.


Add availability

  1. Click the SCHEDULE tab.

  2. Click the hamburger icon in the top-left corner, and select Availability.

  3. Click Availabilites.

  4. For each day you want to be available, click Add and complete the wizard as shown below.

    For each day that you add availability, you can set:

    • Whether you are Available or Unavailable

    • Preferred: A toggle to signal to the supervisor or other employees that this shift is preferred over other set shifts

    • All-day: A toggle to signal you will be available anytime for the whole day (24 hours)

    • Start/End Time: Specify a time frame. The default is 9 AM and 5 PM.

    • Location (optional): Employees can enter an address and indicate the distance they are willing to travel for a job

  5. To copy an availability to another day:

    1. Click the Clone icon.

    2. In the pop-up window that appears, select the days you want to add the availability to, and click Clone.

  6. After you set all of the days you are available, click Add.


View open shifts and request a shift

  1. To view the open shifts available, click the SCHEDULE tab.

  2. You will see your shifts and the open shifts.

    1. You can toggle on or off the open shifts view.

  3. To take a shift, click the Open Shifts link, and click Yes in the confirmation pop-up window.
    The request is sent to your supervisor for approval.

  4. To view your requests, click the hamburger icon in the top-left corner, and select Schedule Requests.

    You can view My Requests and Team Requests.

  5. To cancel a request, click Waiting for manager approval, and click Cancel Request in the pop-up window that appears.


Swap shifts—covers and trades

Requesting coverage

  1. To view the open shifts available, click the SCHEDULE tab.

  2. Select the shift you want to request to be covered.

    It must be a shift in the future.

  3. In the pop-up that appears, select the employees you want to ask, and click Request Cover.

  4. If you receive a request for coverage:

    1. Click the hamburger icon in the top-left corner, and select Schedule Requests.

    2. Open the Team Requests tab and the Cover sub-tab.

    3. Click on the request, and click Deny Cover or Accept Cover.

      If accepted, this request will then be submitted to the manager or supervisor’s request inbox for approval.

Requesting trades

  1. To view the open shifts available, click the SCHEDULE tab.

  2. Select the shift you want to request a trade for.

    It must be a shift in the future.

  3. In the pop-up that appears, select the employees you want to ask, and click Request Trade.

  4. If you receive a trade request:

    1. Click the hamburger icon in the top-left corner, and select Schedule Requests.

    2. Open the Team Requests tab and the Trade sub-tab.

    3. Click on the request, and then click Deny Trade or Accept Trade.

      If accepted, this request will then be submitted to the manager's or supervisor’s request inbox for approval.
