How to Work with Open Shifts

Open shifts allow you to post shifts for qualified employees to take.

Open Shifts considers the employee’s availability, department, job, and task. If the employee does not match the criteria of the Open Shift listed, then they will not be eligible for the open shift.

Utilizing Open Shifts allows for improved flexibility. Open Shifts can be unpublished or published. Published shifts are instantly made available to eligible employees.

This article will guide you through:

  • Adding multiple shifts

  • Approve requests

  • Drag and drop shifts

  • View available employees

  • Auto Assign Open Shifts

  • Create an Open Shift when an employee calls out sick


Adding multiple shifts

There may be times when you need to add multiple shifts for the same job. The counter option allows you to enter an Open Shift and update the counter field with the number of shifts available.

  1. Login to Fingercheck as an Admini.

  2. Select the SCHEDULE tab.

  3. Under the Open Shift row, click the ‘+’ (plus) icon to add a shift.

  4. Select the Shift requirements:

    1. Department

    2. Job

    3. Task

  5. Under the Counter field, enter the number of available shifts.

  6. Click Safe & Publish.

    The number of Open Shifts will appear as a red notification.


Approve requests

You can approve or deny when an employee submits a request to take a shift. The number of pending schedule requests will display.

  1. Login to Fingercheck as an Admin.

  2. Select the SCHEDULE tab.

  3. Click Requests.

  4. Click Approve or Deny to respond to the employee’s request.


Drag and drop shifts

Drag and drop shifts allow you to quickly schedule an employee to an Open Shift.

  1. Login to Fingercheck as an Admin.

  2. Select the SCHEDULE tab.

  3. Click on the Open Shift you want to assign to an employee.

  4. Drag and drop the Open Shift to the employee’s schedule.

    If you drag and drop an Open Shift that has multiple shifts available, the number of available shifts will be reduced.


View available employees

You can assign the Open Shift to an eligible employee who does not already have an assigned shift or PTO.

  1. Login to Fingercheck as an Admin.

  2. Select the SCHEDULE tab.

  3. Click the Pencil icon of the Open Shift you want to assign.

  4. Click the toggle switch to show only View available employees.


Auto Assign Open Shifts

When not enough employees submit requests to take an Open Shift, you can Auto Assign Open Shifts. Auto Assigning shifts will randomly assign the Open Shifts to eligible employees.

  1. From the SCHEDULE, click the Hamburger icon.

  2. Select Auto Assign Open Shifts.

  3. Click OK.


Create an Open Shift when an employee calls out sick

When an employee calls out sick, you can create an Open Shift by either drag and drop, or edit the shift:

  1. From the SCHEDULE, click the Pencil icon to edit the employee’s Shift

  2. Click the down arrow next to the employee’s name.

  3. Select Open Shift from the drop down menu.

  4. Click Save and Publish to publish the open shift.

The Open Shift will now be visible for eligible employees to view
