How to Set Up Approval for Time Cards

You can require admin and supervisor approval for time cards. You can also require employees to approve before finalizing timesheets.

Having time cards that are accurately accounted for is important. You can require administrators or supervisors to approve time cards. With Fingercheck, you can also create a two-level approval process so that supervisors and administrators must verify that time cards are correct before running payroll.

Time card approval is useful in many ways, especially for business owners with multiple locations and a large staff. By surrendering certain powers to supervisors, the local leadership can review and account for the time cards of their specific employees before making the final approval themselves. Implementing a two-step process (requiring administrator and supervisor approval) ensures that all data is properly reviewed and that those involved in the day-to-day attendance of a particular location can verify their employees' timesheets accuracy.

As an extra measure, administrators can require employees to approve their hours before finalizing timesheets.


Enable time card approval

  1. Log in to your Fingercheck account as an Administrator.

  2. Click SETUP > Division Information.

  3. Scroll to the bottom of the page, and select Administrator Approval and/or Supervisor Approval under the Default Settings section.

  4. To require employees to approve their time cards, select Employee Approval.

  5. Click Save.


Approve time cards

  1. Log in as an Administrator or Supervisor.

  2. Select TIME & LABOR > Approve Time Card.

  3. From the Select Payroll list, select the pay period you want to review.

  4. Review the hours for your employees.

  5. Select the check boxes for the employees whose time cards you want to approve.

  6. Click Approve.
    Note: If the supervisor has not yet approved the time cards, when the administrator selects the boxes for approval, a pop-up will appear with the option to approve time cards as a supervisor and an administrator.

  7. To verify that your approval was successful, review the Admin Approved and Supervisor Approved columns.

    a. If the columns are not visible, click the Customize Columns icon.


    b. From the list that appears, drag Admin Approved and Supervisor Approved into the window.


Lock a time card

After a time card is approved, you can lock the time card so there are no additional changes:

  1. Log in as an Administrator or Supervisor.

  2. Select TIME & LABOR > Approve Time Card.

  3. Select the payroll period.

  4. Select the check boxes for the employees whose time cards you want to lock.

  5. Click the lock icon.

  6. To unlock time cards, select the check boxes and click the unlock icon.
