Many small and midsized businesses use QuickBooks for their payroll. With this in mind, Fingercheck makes it easy and convenient for companies using Windows to set up an integration between Fingercheck and QuickBooks.

*Note: QuickBooks 22 and later do not support timer activity imports.

How to set up a QuickBooks export for Windows

  1. Export a timer lists file from QuickBooks.

    1. Open QuickBooks in single-user mode.

    2. Select File > Utilities > Export > Timer Lists.

A pop-up message will appear informing you of the export that is about to occur.

    3. Click OK.

    4. Name the file and save it.

    5. Open the file in NotePad.

The file should look like the example below. Keep this file open so you can input the Company Name and Batch ID you need into Fingercheck (which you'll do in the next few steps.)

  2. Create a payroll export in Fingercheck.

    1. Log in to Fingercheck as an Administrator.

    2. Go to the SETUP tab > Payroll > Payroll Exports.

    3. Click Add.

    4. In the following fields in the Payroll Export window, enter the QuickBooks information you gathered from the timer lists file you created above:

      • Code: A brief title to label your export.

      • Description: A more detailed description of the export.

      • Company Name: Your company name as it is written in QuickBooks. You can find their name in the QuickBooks export you opened on Notepad.

      • Batch ID: Your QuickBooks company number. You can find their name in the QuickBooks export you opened on Notepad.

      • Export Type: Select QuickBooks.

      • (Optional) Service Type Mapped: If you set up cost-center levels in Fingercheck, select an option to have your employees' hours to be broken down by service type in QuickBooks.

      • (Optional) Customer/Job Mapped: If you set up cost-center levels in Fingercheck, select an option to have your employees' hours to be broken down by job in QuickBooks.

      • (Optional) Class/Project Mapped: If you set up cost-center levels in Fingercheck, select an option to have your employees' hours to be broken down by project type in QuickBooks.

Important: For successful integration, each employee's name in Fingercheck must be spelled exactly as it is in QuickBooks. Additionally, the short descriptions of your earning codes match the pay items in QuickBooks.

    5. Click Save.

  3. Create a payroll file to import into QuickBooks.

    1. Click the PAYROLL tab.

    2. Click Export Payroll.

    3. Choose the date range you want to export.

    4. From the Export Type drop-down list, select QuickBooks.

    5. Click Export.

  4. Import the information into QuickBooks.

    1. Open QuickBooks.

    2. Select File > Utilities > Import > Timer Activities.

    3. In the pop-up message that appears, click OK.

Now that you have successfully set up your export, you can routinely follow this procedure to export, download, and import your Fingercheck information into QuickBooks.
