How to Set up Rounding Rules

A common routine found in many workplaces today is the practice of rounding time punch entries. Many employers now use enterprise-wide time and attendance solutions as a means to track their employees’ time attendance and regulate work time payments. FingerCheck administrators can easily create rounding rules using the Rounding Policies tool. Here’s how: 
 
  • Log onto your FingerCheck account and go to “Setup,” the last tab all the way to the right.
  • Locate “Company Menu,” which will be the sidebar displayed on the top left of the page. Select “Policies Menu” from the drop down list.

  • Select “Rounding Policies” from the drop down menu and click on the yellow “Add” button on the top right of the window directly underneath “Setup.” 
 
 
  • You are now in the dialog box. Fill out the:
     
    • Code (Name) you wish to give the policy
    • Description of the policy
    • Whether rounding is enabled for this policy and indicate whether you’d like to enabled this policy (Enabled)
     
  • Click on “Add.” Specify the rules of your policy in the “Rounding Rules” section. Now that you’re in the window, first fill out the information box with the desired start and end date of your policy. 
 
 
  • Rounding Type: Most rounding policies have multiple rules. Rules are built by filling out this information box. You will have space for multiple rules, and each time you finish filling out the information box you can make a new rule. Start by clarifying the first rule of your round policy.
    • In Punch – Round all “in” entries.
    • Out Punch – Round all “out” entries.
    • Total Hour – Round total time per pair of punches.
    • All Punches – Round all entries (in and out).
    • Total Day/Hours – Round per total hours for the whole day.
    • Round First Punch Only - Round the first punch of the day.
  • Rounding Rule: Now, apply the type of rounding you want to use for this rule:
     
    • Mid-Point Rounding – Round numbers before the mid-point down and numbers after the mid-point up (to the closest possible increment)
    • Up – Round up.
    • Down – Round down.
    • Between Specific Time Frame – Apply specific rounding rules to a window of time, such as from 8 AM to 9 AM
    • Mid-Point Down – In cases when an employee clocks in the middle of an even number, round mid-point down.
       
  • Rounding Interval: How do you want time measured? Enter the increments you want (i.e. to the nearest fifteen minutes)
  • Grace Period: Do you want to allow employees a period of time in which their time punch entries are not rounded? If so, enter the amount of minutes it should not take affect.
  • Start Time: Only fill out if you are rounding between a specific time frame. Enter the starting time.
  • End Time: Enter the end time for that specific time frame.
  • Rounded Time: Designate the rounded punches to be set for a particular time.
  • Next Date: The Next Date field is typically used for staff that are clocking in for the overnight shift. For example, if an employee is scheduled 12:00 a.m. to 8:00 a.m., by clocking in prior to 12:00a.m., they will have clock punches for a single shift on two calendar days. In this case, a rounding policy can be created to round UP any clock rings between 11:00 p.m. and 11:59 p.m. to 12:00 a.m. Then by selecting the Next Date field, FingerCheck will automatically attribute any Clock punches prior to midnight as the next calendar day.
  • When you are finished creating the policy, select Apply and review your information.
  • Review the Rounding Rule as you have created it, then select Save to finalize it.

    An important note is that these policies will NOT take effect unless they are applied to the master profile.
